Rental Process
Here is an explanation of the rental process from application to event execution.

Inquiry
Use the inquiry form to ask about the availability of exhibition halls.
A venue reservation representative will contact you.

Usage Confirmation &
Formal Application
Application period:
Up to 1 year in advance
Facility Reservation (Provisional Reservation)
A “Usage Confirmation Form” must be submitted to hold the dates and exhibition hall you wish to use.
After filling out and affixing your seal or adding your signature to the “Usage Confirmation Form,” e-mail or fax it to us. We cannot accept applications by phone or verbally.

Application (Formal Application)
Once you have decided to hold your event at INTEX Osaka, complete the formal application process by submitting the Usage Confirmation Form at least one year prior to the date of your event.

Application Fee
Payment
Within 30 days after
approval
We require a deposit equivalent to 10% of the venue usage fee as the application fee from the organizer. After receiving the application form, we will send the Usage Approval Certificate and invoice to your designated representative.
The application fee must be paid into the designated account within 30 days after receiving approval. In the event of a delay in payment, your approval may be canceled, and a penalty fee calculated at a rate of 8.8% per annum on the application fee will be collected.
As a general rule, the application fee is non-refundable even if your event is canceled.

Event
Meeting
From 3 months before
your event
We will proceed with a meeting while gathering information about your specific usage plan.
Additionally, we will also ask you to provide us with information on your event to facilitate communication and coordination with relevant parties.
The Event Notification Form for the local fire department must be submitted through the reception desk of the Operations Division of the Osaka International Business Promotion Center.
Osaka Prefecture Inflow Regulations (Automotive NOx and PM Law)
In Osaka Prefecture, trucks, buses, and other vehicles that do not meet the emission standards of the Automotive NOx and PM Law are not allowed to enter or depart from 37 cities and towns within the Osaka Prefecture area from January 1, 2009 (October 1, 2009 for special class vehicles). In addition, trucks, buses, and other vehicles that can enter and depart the area (vehicles that conform to vehicle-type regulations, etc.) are required to display a sticker issued by the prefecture.

Vehicles subject to regulation:
Trucks and vans with license plates starting with 1 or 4 (including some with license plates starting with 6)
Buses and microbuses with license plates starting with 2 (including some with license plates starting with 5 or 7)
Special motor vehicles with license plates starting with 8 (except those used for the transportation of people with a seating capacity of less than 11 passengers)
Both green- and white-text license plates are subject to this regulation
Vehicles not subject to regulation:
Light vehicles, motorcycles, passenger vehicles (license plates starting with 3, 5, or 7), and special vehicles (license plates starting with 0 or 9)

Payment of Remaining
Venue Usage Fees By 1 month before your event
The balance of the venue usage fee must be paid into the designated account at least one month before the start of your event.
The invoice and payment slip for the remaining balance will be sent together with the application fee request.
In the event of a delay in payment, your approval may be canceled, and a penalty fee calculated at a rate of 14.6% per annum on the application fee will be collected.
As a general rule, the usage fee is non-refundable even if your event is canceled or downsized.

STEP
Event Execution
On the first day of your event
The person who arrived first must pick up a key to the exhibition hall at the “Disaster Prevention Center” on the first floor of the Center Building.
Keys must not be taken outside the INTEX Osaka premises. The organizer is responsible for proper management of the facility during the period of use.

During your event
If there are any changes from the contents of your event as expressed in prior meetings or in the event of unforeseen circumstances, please consult with your designated representative as soon as possible.
When extending the time of your event or booking additional conference rooms, be sure to complete the procedures promptly.
On the last day of your event
After dismantling and cleaning are completed, the Disaster Prevention Center staff will check the facility to ensure it has been restored to its original condition. In the event of damage or defacement of facilities and equipment, the user will be charged the actual cost incurred to restore the facilities to their original condition.
After checks have been completed, make sure that no items have been left behind by the parties involved, and return the keys to the facility to the Disaster Prevention Center.

STEP
Final Settlement
Within 30 days
of the invoice date
Settlement will be conducted for additional charges, including extended usage fees for exhibition halls and conference rooms, usage fees for auxiliary equipment, utility costs, and parking fees. After the conclusion of your usage period, we will send you an invoice and payment slip for the “post-settlement amount.” Payment must be made into the designated account within 30 days of the invoice date.
